Chatbot vs AI Agent: What Your Business Actually Needs
They look similar in a demo. In production, they're different species — here's how to know which one your workflow needs.
The words get used interchangeably, and vendors don't help. But a chatbot and an AI agent are different tools for different jobs — and buying the wrong one is the most common way businesses end up disappointed with AI.
A chatbot answers. An agent acts.
A chatbot is a conversation layer: it understands a question and gives an answer from what it's been trained on. Great for FAQs, product questions, order status, and first-line support.
An AI agent goes further — it takes actions across your systems. It doesn't just tell a customer your available slots; it checks the calendar, books the appointment, updates the CRM, and sends the confirmation. The conversation is just the interface; the work happens behind it.
The 10-second test
Write down the sentence you wish AI could handle for you. If it starts with 'answer…' — customer questions, policy queries, product info — a well-grounded chatbot is enough, and cheaper.
If it starts with 'do…' — book, update, qualify, follow up, generate, route — you need an agent with access to your tools.
Where each one fits
- Chatbot: FAQ deflection, lead capture on your website, WhatsApp product catalogues, order-status lookups.
- Agent: appointment booking end-to-end, lead qualification with CRM entry, invoice processing, support tickets that require account changes.
- Both together: the most common production setup — a chatbot front-line that escalates to agent actions when the conversation calls for it.
The trap to avoid
Don't buy an 'agent' that's really a chatbot with ambitions. The tell: ask the vendor to show the agent completing a real task in your actual tools during the demo — not a slide about integrations 'on the roadmap'. If it can't write to your calendar or CRM today, it's a chatbot, and you should pay chatbot prices.
